A workspace is a private business dashboard containing that organisation’s contacts, jobs, quotes, files, receipts and reporting. Start with the business name, preferred currency, brand colours and user roles.

Add clear line items, quantities, prices, VAT and deposit requirements. Send the customer link, record its status and schedule an email, SMS or WhatsApp follow-up when a response or payment is due.
Open Receipts and choose Take a photo to use the rear camera, or Choose from library for an existing image or PDF. The receipt is automatically attributed to the signed-in user.
Reports open on the latest 28-day period and can compare performance with the preceding period. Use them to review contact activity, job completion, quote value, receipts, stock and employee or contractor output.
Managers can open Integrations, copy the private calendar address and use the Apple Calendar setup button. Keep the address private because anyone who has it can read the published schedule.
Use the provider button in Integrations, then paste the private ARM BMS calendar address into the provider’s “from URL” or “subscribe from web” screen. Provider refresh timing is controlled by Google or Microsoft.
ARM BMS provides the inbound webhook and workspace delivery fields. The business activates an approved WhatsApp sender separately and completes its provider connection through the authenticated Integrations area.
Google sign-in can link to an existing account using a provider-verified email address. A new user still completes the normal workspace form and creates a fallback password. ARM BMS manages the secure callback configuration.
A workspace user can sign in. A staff or employee record can exist for HR-style history and job reporting without receiving software access. Keep the two concepts separate unless the person genuinely needs both.
Administrators control users, billing, integrations, exports, costs and profits. Managers run selected operations. General Users work in chosen modules. Viewers are read-only. Every invitation can be limited to specific dashboards.
Job notes, evidence, alterations and status changes remain linked to the user who submitted them. Administrators can select email or WhatsApp alerts for the updates that matter.
Deactivate access promptly, preserve employment history where required, reassign open work and only permanently delete the user when their legitimate records and responsibilities have been reviewed.
Start with the current 28 days, then compare with the preceding period. Filter deliberately rather than interpreting an all-time total without context.
Costs and profit are administrator-only throughout stock, labour, quotations and reporting. Other roles can use permitted operational information without seeing commercial margin.
Administrators can export their organisation’s customer data and uploaded files for portability and GDPR requests. Service-level operational records, software code and platform credentials are never included.
Use date and user filters to investigate activity. Audit entries are intentionally protected against ordinary workspace deletion so the record remains useful for security and accountability.
Give each person the lowest role they need and use separate workspaces for legally or operationally distinct businesses. Service-level controls are managed privately by All-Round Marketing Ltd t/a ARM BMS and are not visible to customer workspaces.
Use a unique password of at least 12 characters and enable authenticator-app two-factor authentication. Three unsuccessful password attempts require an emailed reset. Signed-in workspaces warn before an automatic inactivity logout.
Provider secrets must only be entered through authenticated ARM BMS integration controls, never in a screenshot, database note or support email. Regenerate a private calendar address immediately if it is shared accidentally.
First check the subscription plan, then ask an administrator to review your role and module permissions. Both the plan and the individual permission must allow access.
Confirm the file remains in ARM BMS private storage and that the viewer has the correct workspace and document permission. Contact support if the original upload cannot be retrieved.
Check the administrator’s notification preferences, recipient email or phone, provider connection and reminder status. A waiting-configuration status means ARM BMS kept the request but still needs a working provider.
Plan access activates only after verified payment. Referral credit qualifies after the referred customer’s first successful paid subscription and is then held for a future applicable billing date.
